Job Description

Tropical Treets Inc. 130 Bermondsey Road, North York Ontario M4A 1X5 is a rapidly growing specialty food and beverage company known for its high‑quality tropical products, strong customer relationships, and commitment to operational excellence. To support our growing & complex administrative and operational needs we are seeking a professional EXECUTIVE ASSISTANT to work closely with the CEO and senior management and provide high‑level coordination, streamline communication, and enhance executive productivity. The role is essential to improving workflow, strengthening organizational structure, and enabling senior management to focus on strategic planning, business development, and company expansion.

Job Duties of this position include:

  •  Establish, implement, and continuously refine comprehensive administrative policies, procedures, and workflow systems that support the efficient operation of the business. This includes monitor system performance, identify gaps or inefficiencies, introduce improvements, and ensure consistent adherence across all departments.
  • Draft, edit, and proofread correspondence, reports, presentations, and internal communications.
  • Maintain confidential records, databases, and filing systems in accordance with company policies.
  • Liaise with suppliers, service providers, insurance providers, regulatory bodies to support coordinated operations, compliance, and strategic initiatives.
  • Maintain the CEO’s calendar, schedule and coordinate meetings, make travel arrangements.
  • Work closely with other administrative support staff to provide coordinated and effective flow of information and knowledge.
  • Develop, maintain and manage organized records management systems to ensure accuracy, accessibility, and compliance with regulatory requirements.
  • Draft and format documents, presentations and business correspondence as needed.

Additional skills

·        Advanced organizational and time management skills.

·        Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).

·        Strong written and verbal communication skills.

·        Ability to manage multiple tasks, prioritize effectively, and meet deadlines.

·        Demonstrated ability to handle sensitive information with discretion.

·        Professional, courteous, and able to work collaboratively with diverse teams.

Job TypePermanent, full-time position

Wage: $37/hour for 35-40 hours per week

Overtime: 1.5 times the wage after 44 hours

Experience: 2-3 years in a similar role.

Education: A bachelor’s degree in public administration, political science or related field.

Language Requirement: Fluency in spoken and written English
